Bilingual Part-Time Recepcionist 12:30 - 4:30 pm
 

St. Gabriel Church has an opening for an afternoon part-time receptionist (20 hours per week, Monday - Friday, 12:30-4:30 pm all year).  Applicants must be fully fluent in English (spoken and written) and conversational in Spanish and have a strong commitment to customer service.

Position Summary:

This part-time position – 20 hours a week - has responsibilities in various areas:
1) Answer phones efficiently and in a friendly manner.
2) Assist people coming into the office for various things in a courteous and helpful manner. 
3) Control facility key lending.
4) Prepare outbound mail.
5) Contact person for copier. 
6) Input annual scheduling information and additional scheduling when needed throughout the year.   

This position reports to the Facilities Manager and will offer support to the sacramental coordinator whenever necessary.   

Principal Accountabilities:

  • Answer phone and walk-in inquiries pleasantly, helpfully and knowledgeably.  Many individual’s first contact with the church is with the receptionist and as such an attitude of service is crucial.
  • Work with Facilities Manager in all aspects of scheduling – resolving conflicts etc.
  • Maintain key log.
  • Monitor key lending per building at Facilities Manager’s direction.
  • Prepare and meter out-going mail and if necessary distribute in-coming mail.
  • Perform other duties as required by the Pastor or Facilities Manager to support the activities at St. Gabriel and to also offer support if time allows to other members of staff.
  • Provide administrator support to Father Gabriel and help translate homilies into Spanish for Deacons.
  • Translate English into Spanish for bulletin and mass announcements.
  • Maintain the parish mass book.
  • Take details from callers regarding deaths, prayer requests or hospital visits accurately.
  • Contact person for copier service and repairs.
  • Monitor certificate of liability insurance certificates.
  • Cover for afternoon receptionist when necessary.

Qualifications:

  • High school education; additional secretarial training preferred.
  • Proficiency in use of computers; working knowledge of Windows Microsoft Office & Excel.
  • Customer service attitude and scheduling.
  • Fully fluent in English (spoken and written) and conversational in Spanish.
